Clayton Services, a staffing provider is seeking an Administrative Assistant for one or our valued clients in the North Houston area (77070). The Administrative Assistant will be the face of the company as well as assist the office manager with operational duties.

Administrative Assistant Duties & Responsibilities:
Mail (incoming and outgoing) and Shipping (FedEx, UPS, Delivery)
Business card, Stationery, Hard Hat Sticker Orders
Maintain the Personnel Contact List
Answer Telephones, Retrieve and send faxes
Conference Preparations/Lunch Orders
Office supplies (maintain inventory), Copier Maintenance, Filing
ARAMARK - Field PPE Orders
Process Company Correspondence, Personnel resumes, etc.
End-of-Day Office Close

Assist Office Manager and Staff:
Master Service Agreements

Prepare original(s) for signature on Master Service Agreements and upload fully executed MSA's unto Agreements on Server
Forward Request for Customer Certificate of Insurance Requirements for processing
Return to Customer complete with executed MSA, Rate Sheet, Certificate of Insurance, lockbox information and W-9 for processing
Update MSA Recordkeeping

Coordinate Training for Field
Locate and Schedule PEC Authorized Training Facility (Nationwide)
Coordinate with Operations Manager and employee for scheduling and arranging the training
Receive and Mail Training Cards to employees
Update Employee Training Record Keeping
Maintain PEC website account for compliance purposes.
Update Standardized Safety Questionnaire
Update and Upload OSHA Verification Documents (OSHA 300 & OSHA 300A), Annual EMR Statistics & Annual/Revised Certificate of Insurance per Customers
Maintain monthly PEC Safety Meetings per employee.
Maintain ISNetworld website account for compliance purposes and ISNetworld online reporting

Assist President:
Coordinate all travel arrangement
Arrange International mobile calling plan
Schedule meetings and update Calendar
Manage contact database



Administrative Assistant Skills & Qualifications:
Proficient in MS Office. Intermediate Excel user
3+ years experience in an Administrative role with strong knowledge of administrative procedures, record keeping, and basic office management
Experience in Oil & Gas preferable
PEC Safety knowledge
Strong Communication skills both written and verbal
Planning, organizing and prioritizing
Problem assessment and problem-solving
Customer Service oriented with strong Attention to detail and accuracy
Dependable, flexible and adaptable
